How do I connect my email to Operly?
Open Integrations and choose how your mailbox signs in:
- Gmail: open Google Workspace and choose Connect Google Account. The same sign-in connects your Google Calendar.
- Outlook, Hotmail, Live, MSN or Microsoft 365: open Other email accounts and choose Connect Microsoft.
- Yahoo, iCloud, AOL, Titan, Shaw / Rogers or another IMAP mailbox: in Other email accounts, choose Add Email Account, pick your provider, enter your address and an app password, then choose Test & Connect.
Yahoo, AOL and iCloud need an app password from the provider, not your normal password. For a walkthrough, see connecting Gmail and Google Calendar.
What access does connecting my email give Operly?
Connecting Google asks permission to read, send and organise your Gmail (drafts and labels included) and to view and edit events on your Google Calendar. Connecting Microsoft asks for the same kinds of access to your mail and calendar. There is no read-only option.
Team members use that access to read mail, write drafts and check your schedule when you or a routine ask them to. Sending an email or creating an event has its own approval rules, covered in will my team send email without asking me.
You can disconnect an account whenever you like.
Can I connect more than one email account?
Yes. Connect as many accounts as you need, from different providers. In Email, the folder list has an Accounts section where you can pick one account or see them together, plus an Add account button.
When you write a message, use the From selector to choose which account sends it. To set a default, open Settings > Email and star an account under Accounts. Under Unified inbox you can leave individual accounts out of the merged view, or make the merged view the one Email opens on.
How do I disconnect or reconnect an email account?
Open Integrations. For Google, open Google Workspace and use the Disconnect icon next to the account. This also stops Calendar and the other Google features for that account. For Microsoft and IMAP mailboxes, open Other email accounts and disconnect from the account’s card.
If a password changes or a connection fails, choose Reconnect account on an IMAP account and use Test & Reconnect. For Microsoft, sign in again with Continue with Microsoft. For Google, use the account’s refresh-connection button or choose Connect Google Account again.
Disconnecting ends Operly’s connection to that account. To remove the permission from your Google or Microsoft account itself, use that provider’s security settings.
How do I find my way around the inbox and search?
The folder list in Email has Inbox, Pinned, Snoozed, Sent, Drafts, Approvals, Archive, Spam and Trash. Scheduled appears while you have emails waiting to send later. Your own labels are listed below the folders.
To search, type in the Search all accounts… box and press Enter. Press Esc to clear it. Ctrl+K (⌘K on a Mac) jumps to the box.
On a phone, the list and the open message take turns on the screen instead of sitting side by side.
How do I archive, snooze, pin or delete email?
Open a message and use the toolbar above it:
- Archive (e) moves it out of your inbox without deleting it.
- Snooze hides it until later: Later today, Tomorrow, This weekend, Next week, or Pick date & time. Snoozed mail is in the Snoozed folder.
- Pin (p) keeps a conversation handy in Pinned.
- Move to folder files it under a folder or label.
- Delete sends it to Trash. Deleting from Trash removes it for good.
The More menu has Reply, Reply all, Forward, Star and Mark as unread. In Spam, use Not spam to move a message back to your inbox. j and k step to newer and older messages.
How do I write and send an email, or send it later?
Choose Compose in the folder list. Fill in To (and Cc or Bcc if you need them), the subject and your message. If you have several accounts, pick one in From. You can attach files.
Press Send. There is a short countdown of about five seconds with an Undo button before it goes.
To send later, use the arrow beside Send: Tomorrow (8:00 AM), Tomorrow afternoon (1:00 PM), Monday (8:00 AM), or Pick date & time. Waiting emails sit in Scheduled, where you can cancel them. The composer saves as you type, and if you close it with text in it, it asks whether to Save Draft or Discard.
Where do email drafts go, and what is the Approvals queue?
Drafts you start in the composer are saved to Drafts. Drafts that your team prepares for you, and drafts you park with Save for Later, collect in Approvals. That page is titled Email Drafts to Send.
Open a draft there to read it, edit the recipient, subject or body, and then choose Send Reply, or Reject it (you can add a note). Saved drafts have a button to resume editing.
When a team member shows you a draft in a conversation, the card has Send, Edit and Save for Later. Nothing in this queue is sent until you send it.
Can Operly draft or summarize email for me?
Yes. Open a message and type in the reply box, or use the buttons under it: Draft reply, Agree or Propose new time. The draft appears in the reply box with a note to edit it before sending, and nothing is sent until you press Send.
For anything bigger, open the More menu and choose Chat about this email, or ask a team member in their thread, for example to summarize a conversation, pull out action items or draft a reply. In Settings > Email, Compose & AI lets you turn the draft assist panel on or off and set a Default tone.
See getting to inbox zero with AI for a worked example.
Will my team send email without asking me?
It depends on who is doing the work.
- Hired team members carry out the sends you ask for, so ask for drafts when you want to read first.
- Your main agent sends only when you clearly tell it to, such as “send it”. Otherwise it prepares a draft.
Two settings shape this: Require Email Approval (Settings > Email Automation, on by default) and AI Team approval mode (Settings > Team). Its YOLO mode lets team jobs act without asking, so leave it on Approval mode unless you want that. See your team.
Can a routine handle new email for me?
Yes. In a team member’s Desk, open Routines, choose New routine, then Add trigger and pick A new email arrives (Gmail or Outlook). Under From account you can watch every connected account or just one.
Describe what should happen in plain words. Quick actions include Create a task, Star email, Archive, Mark as read, Create a reminder, Draft a reply (a draft for your review, not sent) and Notify me.
Operly then shows a Compiled plan. Read it, and choose Confirm and save only if it matches what you meant. More in routines and features.
What can I change in Email settings?
Open Settings > Email. It has these sections:
- Accounts: your connected mailboxes and which one is the default From address.
- Unified inbox: one merged stream across accounts, with a switch to make it the default view and a choice of what the Unread badge counts.
- Smart inbox: Smart sections group the inbox into Pinned, People, Notifications and Newsletters, with options to Auto-file newsletters and roll up Notification digests.
- Triage gestures: what swiping or hovering does, and a Default snooze.
- Compose & AI: AI draft assist, Default tone and signatures.
