Help / Calendar
How do I connect my calendar?
Open Integrations. Until a calendar is connected, Schedule shows Calendar Not Connected with an Open Integrations button.
- Google Calendar: open Google Workspace and choose Connect Google Account. This also connects Gmail.
- Outlook calendar: open Other email accounts and choose Connect Microsoft.
- Apple, Fastmail, Yahoo or another CalDAV calendar: open Apple and CalDAV calendars, pick a Calendar Provider, enter your address and an app-specific password, and choose Test & Connect. For iCloud, use your @icloud.com or @me.com address.
A walkthrough is in connecting Gmail and Google Calendar.
How do I switch between day, week and month, and move around?
Open Schedule and stay on its Calendar tab. Choose Day, Week or Month, use the arrows to step forward or back, and press Today to return to the current date. On a phone there is also a Schedule view, a running list of your upcoming events.
The magnifying-glass button, Search events, searches your events. The gear, Calendar settings, opens your appearance settings. The More menu (three dots) has Sync now.
The Reminders tab beside Calendar holds your reminders.
How do I create an event?
On a computer, drag across a time on the grid to open a quick form, or choose Create event in the side panel for the full form. On a phone, tap the + button. The quick form has a More options link to the full form.
The full form has a title, start and end, an All day switch, repeat, Add guests, Add location and Add description. If you have more than one calendar, you can pick which calendar the event goes on. You can also set Show as (busy or free) and a notification before the event.
Google calendars offer Add Google Meet conferencing and event colors. Outlook calendars offer a Teams meeting. Apple and other CalDAV calendars offer neither.
How do I make an event repeat?
In the event form, open the repeat menu under the date and time. Choices are Does not repeat, Daily, Weekly, Monthly and Yearly. Once you pick one you can set Every (how often), the On day it falls, and when it Ends: Never, After a number of times, or On a date.
When you edit or delete one event in a series, Operly asks what to change: This event, This and following events or All events. Only the organizer can change the whole series for other people, so the options can be fewer on events you were invited to.
How do I invite guests and answer invitations?
In the event form, type an email address under Add guests and press Enter or comma to add it. Contacts from your email are suggested as you type. Guests are invited from the calendar account the event is on, and you can see who has answered in the event details.
When you are the one invited, open the event and choose your answer next to Going?: Yes, No or Maybe. Events with a meeting link show a Join Google Meet, Join Microsoft Teams or Join meeting button.
How do I edit, move or delete an event?
Click an event to open its details. Edit and Delete are at the top. Calendars you only have read access to cannot be changed, and Operly says so.
On a computer you can drag an event to a new time or drag its bottom edge to change its length. On a phone, dragging works in Day view. If the event has guests on a Google calendar, Operly asks Resend invites? and you can choose Send update to attendees.
Deleting an event from a repeating series asks which events to remove.
Which calendars show up, and can I change their colors?
The side panel lists your calendars under My calendars, and you can show or hide each one there. For more control, open Integrations and choose Calendar selection. Every calendar from every connected account is listed by account. Use the eye icon to show or hide a calendar and the colored dot to change its color.
If you have two or more accounts, Default account for new events chooses where new events go unless you pick another calendar.
Hide calendars you rarely need, such as birthdays, to keep the view clear.
Can I see my tasks and reminders on the calendar?
Yes. The side panel has a Tasks & reminders row, marked as coming from Operly. Turn it on or off to show your tasks that have due dates on the calendar and in the Schedule list.
Reminders themselves live in the Reminders tab next to Calendar in Schedule. To change your working hours or date format, use the gear (Calendar settings), which opens Appearance: Working Hours and Calendar Display with Date Format and Show Week Numbers.
Can my team read and change my calendar for me?
Yes, for connected calendars. Ask a team member things like “What’s on my calendar today?”, “Am I free Thursday afternoon?” or “Book a call with Sam tomorrow at 2 PM”. They can look across all your connected calendars.
Approval rules: hired team members show a card, Create this calendar event?, before they book an event. Any team member needs your approval, on a card that names the exact event, before deleting one. Your main agent states the exact date and time it is booking before it creates an event.
For more on schedule help, see tasks and calendar.
Can a routine react to my calendar?
Yes. In a team member’s Desk, open Routines, choose New routine, then Add trigger and pick A calendar event happens. Describe what should follow in plain words. Quick actions for this trigger include Create a task, Task from event and Decline event, and you can ask to be notified with Notify me.
Operly then shows a Compiled plan. Read it and choose Confirm and save only if it is right. More in routines.
Why is an event missing or out of date?
Try these in order:
- In Schedule, open More (three dots) and choose Sync now.
- Check the calendar is switched on in the side panel, or under Integrations > Calendar selection (the eye icon).
- Make sure you are looking at the right date range: Operly loads events around the dates you are viewing.
- If a connection has expired, reconnect it from Integrations: Connect Google Account, Connect Microsoft or Test & Connect for Apple and CalDAV.
A calendar you only have read access to cannot be edited from Operly.
